Privacy Policy
Effective date: the launch date · ScholarlyFox (“ScholarlyFox,” “we”)
The short version: We collect what we need to match you with scholarships, we protect it, we never sell it, and you can see or delete it whenever you want.
What we collect
- Account basics: email, name, birth year (you must be 16 or older).
- Profile information you choose to give us: education level, school, GPA, location, field of study, activities, work history, and — only if you volunteer them — demographic details. Every demographic field has its own switch controlling whether it's used for matching.
- Documents you upload: resumes, transcripts, and essays, stored securely and used only to build your profile and applications.
- Usage information: pages visited and features used, measured with privacy-respecting analytics (no cross-site tracking by us).
How we use it
To match you with scholarships, explain your fit, power the application tools you ask for, send the notifications you've chosen, keep the service secure, and improve the product. AI features process your information to do the job you asked for — we do not use your personal data to train AI models.
What we never do
Sell or rent your personal information. Share your profile with advertisers. Send your data to scholarship providers without your action (clicking “apply” takes you to them; we don't push your file to anyone).
Advertising
Our free tier shows ads to keep search and matching free. Ads are served by an ad network (currently Google AdSense), which may use cookies as described in our Cookie & Ad Disclosure. If you're under 18 or haven't told us your age, ads are non-personalized. Declining ad cookies still gets you non-personalized ads — never a locked door.
Your controls
Edit your profile any time. Per-field matching switches for sensitive details. Notification settings you control. Export your data (one click). Delete your account (one click; deletion is permanent and includes uploaded documents).
Retention
We keep your data while your account is active. If you stop using ScholarlyFox, we don't keep your data forever: after 18 months of inactivity we delete your uploaded documents (we'll email you first), and after 24 months of inactivity we delete your entire account (with two warning emails — any sign-in cancels it). Deleted means deleted from production systems promptly and from backups on their rotation schedule.
Security
Encryption in transit and at rest, access controls, and monitoring. No system is perfect; if a breach affects you, we'll tell you promptly and plainly.
Age
ScholarlyFox is for people 16 and older. We don't knowingly collect data from anyone under 16; if we learn we have, we delete it.
International users
ScholarlyFox welcomes students worldwide. Your data is processed in the United States.
Your privacy rights (US states)
Depending on your state you may have rights to access, correct, delete, and opt out of “sharing” of personal information for cross-context behavioral advertising. Because personalized ads (adults 18+ who consent) may count as “sharing” under California law, we provide a “Do Not Sell or Share My Personal Information” link in the site footer that opts you out of ad personalization entirely.
AI providers
Student data sent to our AI provider for features you use is processed under agreements that prohibit training on your data.
